Registrar Procedures


Add/Drop Period

The student is expected to review his/her course registration via Navigator carefully, check it for completeness and accuracy, and make any necessary changes during the add/drop period for each academic session as listed in the academic calendar. Each semester (term) may contain multiple sessions. During the add/drop period for any term or session, a student may change their schedule by adding and/or dropping courses to meet individual requirements. It is the student’s responsibility to review the start and end and add/drop dates for any class session in which the student is enrolled. Classes may have different add/drop dates depending on the format of the session in which they are offered. Hybrid and online classes will be considered to begin on the first teaching day of the session in which the class is scheduled.

Add/Drop Time Periods:

  • Full semester (term) courses: First five teaching days of the semester.
  • Six week sessions: One business day after the start date of the session in which the class is scheduled.
  • 12 week sessions (summer): First two teaching days of the session.
  • Special format courses, institutes and other accelerated courses: First class meeting day only.
  • Online and Hybrid courses follow the add/drop time periods for the session in which they are scheduled.
  • Students who wish to initiate drop actions after the initial drop period should consult the Withdrawal from Courses policy in this catalog.

Please note that students receiving financial aid should carefully consult the information provided to them on deadlines by which all registration must be completed in order to receive financial aid for the semester in which the student is enrolled. Dropping classes after the financial aid census date will have an impact on student financial aid eligibility and may result in the loss or reduction of financial aid.

Withdrawal from Courses

To withdraw from a course which the student does not intend to complete, the student may log into Navigator and complete the appropriate registration transaction. If a student withdraws from a course after the Add/Drop period ends and before the withdrawal deadline, as published in the academic calendar, a grade of W will be assigned by the Registrar’s Office. If a student withdraws after the withdrawal deadline, a grade of F will be assigned by the Registrar’s Office. Students who wish to withdraw from all classes in which they are enrolled for the term must visit the School of Graduate Studies to complete an official Leave of Absence.

In cases of unauthorized withdrawal, where a student ceases to fulfill the requirements of the course and yet does not withdraw according to the procedure just outlined, a grade of F* will be assigned. Students who wish to withdraw without academic penalty after the deadline must present their case in writing before the end of the course to the Associate Dean of the School of Graduate Studies for appropriate action. Exceptions will only be granted for documented extenuating circumstances.

Withdrawal dates for each class session are published each semester in the official Academic Calendar of the University. Please note that the following guidelines are an approximation of the time period in which withdrawals are allowed and actual dates may vary from year to year.

Withdrawal Dates:

  • Full semester (term) courses: End of the twelfth week of classes.
  • Quarter courses: End of the fifth week of classes.
  • Six week session courses (SCPS/SGS): End of the third week of classes.
  • Special format, institutes and other accelerated courses: All withdrawals must be completed by the third class meeting.
  • Online and hybrid courses follow the withdrawal dates that correspond with the session in which the class is scheduled.
Audit Courses

Students may register for a credit course and not receive credit; this procedure is called “auditing a course.” Students auditing a course may participate in class activities, but are not required to complete assignments or take examinations, and will not receive a grade.
